Consultation & Vision Overview
- To go over details and logistics

- Venue Walkthrough with couple to finalize details and logistics (2- 3 days prior to wedding)
Primary Duties
The primary duties of a wedding coordinator include:
- Meeting with the couple a few weeks before the wedding.
- Communicating with vendors to confirm logistics and review contracts.
- Assisting with creating a comprehensive timeline and floor plans
- Completing final checkup on the venues for ceremony and reception
- Addressing any overlook details
- Managing the rehearsal
- Overseeing all aspects of the wedding day ceremony
Vendor Booking & Communication
You will be responsible for booking most of your vendors however we will take over communicating details with your vendors. We will have a meeting within the two- three weeks and 5-7 days before the wedding where you will share these details with
Yours Logistically and our team will go over your filled-out documents. Within the 30-45 days, our team will rely on your planning, and we will be there to execute your timeline and keep things to your schedule.
Venue Management
- Collecting copies of insurance (and other documents required by a venue for Wedding Venue &; or Reception Venue) from vendors & passing this information along to the venue.
- Fielding any hiccups that may occur and making decisions to problem solve
Day Of Wedding Ceremony & Reception Management
Wedding Venue and Reception
- Distribution of the timeline(s), for Wedding Venue & or Reception
- Agreed Table Settings, Linens, Decor & Floral Arrangement review
- Venue Seating chart review
- Venue floor plan and other pertinent information to vendors (day of or night before) review
Decor & Design Assistance
- Setting up place cards
- Gift table
- Assistance with table setting and floral arrangements.
Wedding & Bridal Party Management
- ensure everyone is in place
- distribute bouquets pin corsages to the bridal party & family members
- remind the Best Man, Maid of Honor, Parents, and honored guests when it is time to give their speeches
- check that everyone is fulfilling their duties as outlined in the contract and timeline
- guests receive proper treatment
Day of Wedding Ceremony and Reception
- inform the bride, groom, photographer and band or DJ of the scheduled events,
- grand entrance
- cake cutting
- first dance
- Cocktail hour
- Dinner
- Toast/speeches’, etc.
Ceremony and reception on the wedding day coordination at the venue entails early arrival to ensure all vendors are set up on time and to answer questions.
During the Ceremony Management
- queues for the musicians
- direct ushers with seating and program distribution
- maintains the processional flow
- ensure the wedding party gets ready for the photo shoot.
- directs guests to the reception
- knows how to move with the timeline and accelerate or decelerate the pace, depending on the situation
